Contacts and companies

A contact is a person. A company is an organisation, and contacts belong to it. A sole trader is just a contact with no company; nothing forces you to invent one.

Both carry the details you would expect — addresses, phone numbers, email — and both carry tags, which are the fastest way to find a group later. Everything is searchable from one box, and search reads names, companies, email addresses and notes together.

Deals

A deal is a piece of work you might win, moving through stages you define. The board shows the pipeline, the value at each stage, and what has been sitting untouched for too long.

A deal that is won can become a quote, and a quote can become an invoice, without re-entering anything.

Notes, activities and tasks

Against any contact or company you can record a note (something that happened), an activity (a call, a meeting, an email) and a task (something to do, with a date). Overdue tasks show on the dashboard.

Importing

Bring in a spreadsheet from Contacts → Import. Map the columns to fields, see how the first rows will read, and only then import. Rows that cannot be read are listed rather than silently skipped.

The customer portal

A contact can be given portal access, letting them sign in to see their own quotes and invoices and pay them. They see only their own records, through the same permission system as everybody else.
